About Us
Kerridge Concrete is seeking a highly organized and dependable Executive Assistant to support the administrative and operational coordination of the company’s head office. This role serves as a central point of coordination for executive schedules, administrative workflows, and office operations, while also providing operational and accounting-process support to leadership.
The Executive Assistant will work closely with the President, Vice President of Operations, and General Manager to ensure the efficient management of priorities, communications, and scheduling across the leadership team. This role is well suited to someone who enjoys learning a business from the ground up, values accuracy and accountability, and is comfortable handling confidential information in a fast-paced operational environment.
About the Role
The Executive Assistant provides high-level administrative and coordination support to the President, Vice President of Operations, and General Manager of Kerridge Concrete Ltd.
This role is based at the front office reception area of the company’s head office and serves as the first point of contact for visitors, clients, and vendors. While physically located at reception, the primary function of the role is executive support, ensuring the leadership team is effectively supported in managing schedules, communications, travel, and operational priorities.
The Executive Assistant will also provide personal administrative coordination for the President, assisting in the integration of professional and personal commitments including calendar management, appointment coordination, and travel planning.
The successful candidate will demonstrate strong organizational skills, discretion in handling confidential information, and the ability to manage competing priorities in a fast-paced operational environment.
Key Responsibilities
Executive Support
Provide administrative support to the President, VP Operations, and General Manager, including:
- Managing complex calendars and scheduling commitments
- Coordinating internal and external meetings
- Preparing meeting agendas and supporting documentation
- Preparing correspondence, reports, and presentations
- Managing incoming communications and prioritizing requests
- Coordinating travel arrangements and itineraries
- Tracking action items and follow-ups from leadership meetings
- Maintaining confidential executive files and documentation
Calendar & Scheduling Management
- Coordinate calendars for three senior leaders
- Integrate professional and personal commitments for the President
- Identify scheduling conflicts and proactively resolve them
- Ensure executives are prepared for meetings and commitments
Personal Administrative Support – President
Provide confidential personal administrative assistance including:
- Coordinating personal and professional calendar commitments
- Managing personal appointments and scheduling
- Coordinating personal and business travel arrangements
- Preparing travel itineraries and reservations
- Assisting with reservations, events, and scheduling commitments
- Managing select personal correspondence where required
This support is provided with discretion and aligned with business priorities.
Front Office Reception
As the role is physically based at reception, responsibilities include:
- Greeting visitors, clients, and vendors in a professional manner
- Managing incoming calls and general inquiries
- Coordinating visitor access and meeting room preparation
- Receiving and distributing mail and courier deliveries
- Maintaining a professional and organized reception environment
Administrative Coordination
- Maintain organized filing systems and documentation
- Support coordination of leadership meetings and company events
- Assist with internal communications and document distribution
- Provide administrative support for special projects or initiative
Working Environment
- On-site position based at Kerridge Concrete Ltd. head office
- Regular interaction with employees, clients, vendors, and leadership
- Fast-paced operational environment supporting executive leadership
Requirements
Qualifications
Education
- Diploma or Certificate in Business Administration, Office Administration, or related field preferred.
Required Skills & Experience
- Minimum 5 years administrative experience and 1-2 years of executive assistant experience
- Experience supporting senior leadership or executives preferred
- Experience in construction, operations, or industrial environments is an asset
- Exceptional organizational and time management abilities
- Strong written and verbal communication skills
- Professional judgment and discretion
- Advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint)
- Ability to manage multiple priorities and deadlines
- Strong attention to detail and problem-solving skill
